Roll over to next season

Copy this term's classes into the next one and hold a seat for every returning student.

Classes and enrollment2 min read

Season roll-over gets you ready for a new term in one go. It copies your classes into the next term, offers each returning student their next class based on age and level, and holds that seat until a deadline you choose. Seats nobody claims go to the waitlist automatically.

Only owners and admins can run a roll-over.

Before you start#

You need at least two terms: the one you're finishing and the one you're moving into. If you only have one, you'll see Add next term first with a link to Manage terms, which opens the Schedule setup tab in Studio settings.

Run a roll-over#

  1. Open Classes in the menu, then choose Season roll-over.
  2. Under From, choose the term you're finishing. Under Into, choose the new term. FrontRow picks the current and next term for you.
  3. Under Hold seats until, choose the deadline for families to claim their seat. It starts two weeks out, and must be after today.
  4. Leave Email families a link to keep their seat ticked to let families know, or untick it to tell them yourself.
  5. Choose Preview. Nothing is saved yet.
  6. Check the preview (see below).
  7. Choose Roll over and hold seats.

Read the preview#

The summary at the top counts what will happen, such as seats held, students waitlisted because a class is full, and classes copied.

The Students offered a seat table lists each student, the class they're in now, the class they're offered, why that class was picked, and the outcome:

  • Seat held: a seat is saved for them.
  • Waitlisted: the new class is full, so they're on its waitlist.
  • Already enrolled or Already offered: nothing new is needed.
  • No fitting class: FrontRow couldn't find a next class for them. You'll want to place them yourself.

Below that, Classes in the new term shows which classes were copied with their sessions and which were already there.

Track responses#

After you roll over, choose Track responses. Later, find any roll-over under Earlier roll-overs and choose View responses. Each student shows whether they've Accepted, Declined, or been Released to waitlist after the deadline.

Tuition is scheduled when a family accepts, not before.

Can I run it again?#

Yes. Running a roll-over again later only adds what's new, so nobody is enrolled or billed twice. This is handy if you add classes or students after the first run.
