Check in with students at risk

See which students might leave, why, and send a friendly check-in before they do.

Growth and retention2 min read

FrontRow watches for signs that a student might be about to leave, like missed classes or failed payments, and gives each student a risk score. The At-risk page shows who to reach out to and why, so you can check in while there's still time.

Only owners and admins can open Growth.

Open the at-risk list#

  1. Open Growth in the menu.
  2. Under Retention, choose At-risk.

You'll also see the top few alerts in a Students at risk card on your Home dashboard. Choose Review or View all to open the full list.

How the score works#

Each score is built from simple rules, and every point is explained. Reasons include:

  • Missing several classes in a row
  • Failed payments
  • Not re-enrolled for next term
  • Attendance dropping off
  • Unread messages from the studio

Each alert shows the student, their family, a High risk, Medium risk, or Low risk label with the score, and the reasons with the points each one added.

Scores refresh every morning. To update them now, choose Refresh scores.

Act on an alert#

Each alert suggests what to do next, based on its reasons. Depending on the alert, you may see buttons to:

  • Send a check-in message
  • Open the family to look at their billing
  • Offer a make-up class credit
  • Open the season roll-over (in Classes, under Season roll-over) to re-enroll them

When an alert doesn't need action, choose Dismiss. You can find it later under Dismissed and choose Reopen.

Send a check-in#

  1. Choose the message button on the alert. FrontRow writes a starting message based on why the student looks at risk.
  2. Under Send by, choose Email, Portal message, or Text.
  3. Edit the message, or choose Draft with Scout to have Scout rewrite it.
  4. Choose Send.

The message goes to your Inbox, where replies arrive in the same conversation. The alert moves to Contacted. Choose Open conversation to go straight to it.

What if it won't send? If nobody in the family has agreed to messages on that channel, try email or a portal message instead.

How well the score predicts#

The How well the score predicts card checks the score against students who actually left. It shows how many withdrawals were flagged beforehand and how often alerts were right. It fills in once some students with attendance history have withdrawn.
