Track leads

Keep a list of people interested in your classes and turn them into families when they sign up.

Growth and retention2 min read

A lead is someone who asked about your classes, booked a trial, or dropped in, but hasn't joined yet. The Leads list keeps them in one place so nobody slips through the cracks.

Only owners and admins can open Growth.

Where leads come from#

Most leads are added for you. Drop-ins, trial bookings, and enquiries from your website show up on their own. Each lead shows a Source, such as Website, Trial, Drop-in, Text, Import, or Front desk.

Add a lead yourself#

Use this when someone calls or walks in and you want to follow up later.

  1. Open Growth in the menu, then choose Leads.
  2. Choose Add a lead.
  3. Enter their first name and at least an email or a phone number. Last name and Notes are optional (for example, "Interested in ballet for a 6-year-old").
  4. Tick They agreed to marketing emails or They agreed to marketing texts only if they said yes.
  5. Choose Add lead.

Good to know: Tracked announcements only reach leads who agreed to marketing messages, so ask when you add them.

Find a lead#

Search by name, email, or phone, or filter by status and source. Use Every status and Every source to see everyone. Choose Website as the source to see the people who filled in a form on your site.

Read what they sent from your website#

If a lead filled in a form on your website, their row has a Form answers button (New form answers if you haven't read it yet). Select it to see everything they entered. See Form submissions.

Update a lead's status#

Change the status in the lead's row as they move along:

  • New
  • Contacted
  • Trial booked
  • Came to a trial
  • Lost (they decided not to join)

The change saves right away.

Convert a lead to a family#

When a lead signs up, turn them into a family so you can enroll their students and bill them.

  1. Choose Convert to family in the lead's row.
  2. Check the details and choose Create family.

FrontRow creates a family with the lead as the account holder, carries over their contact details and messaging consent, and takes you to the new family so you can add their students. The lead's status changes to Joined, and Open family takes you back to them any time.

What if they're already a family? If a family already has the same email or phone, FrontRow links the lead to that family instead of creating a duplicate, and shows you which family it was.
