How families keep their spot for next term

What parents see when you hold a spot for next term, and how they keep it or let it go.

Parent portal2 min read

When you roll over to a new term, you can hold a spot in next term's class for each returning student. Parents then keep the spot or let it go from the family portal. This article shows what they see, so you know what to expect and can help families who get stuck. To set up the roll-over itself, see Roll over to next season.

Where parents find their spot#

A held spot shows up in two places in the portal:

  • On Home, under Needs your attention, as "Keep (child)'s spot for next term", with the class name and the date it's Held until.
  • On the Next term page, which lists every spot held for the family. Your email about next term links straight to it.

Keeping a spot#

The parent selects Keep this spot and sees "Spot kept. The studio will schedule tuition for next term." The student is now enrolled in next term's class. Next term's charges appear in the portal once you set up tuition for that term.

Giving up a spot#

The parent selects No thanks and confirms. The spot is released to the class waitlist. If a family changes their mind afterwards, they'll need to contact you, and you can enroll the student again if there's still room. See Enroll a student.

Tracking who has answered#

Each held spot has a status: Seat held, Accepted, Declined or Released to waitlist. To see them, open Classes, choose Season roll-over, and select View responses next to the roll-over. It's a good list to work from when you're following up with families who haven't answered yet.

Common questions from families#

  • "I missed the deadline." Spots not kept by the Held until date are released to the waitlist. Check whether the class still has room and enroll the student yourself if it does.
  • "I don't see a spot." Spots only appear for students included in your roll-over. Some classes may not have a next step set up. You can enroll the student directly instead.
  • "This isn't the right class." Suggest they hold off on answering, then move the student to a better fit. See Withdraw or move a student.

Adding more classes#

Parents can also sign up for more from the portal. On Family, they choose a child and select Register for more, or select Add a student to sign up a brother or sister. Both open your online registration page with their details filled in. See Let families register online.
