What families see in the portal
A tour of the family portal, so you know what parents see when they sign in.
Parent portal3 min read
The family portal is where parents check their schedule, pay, update their children's details and read your messages. This article walks through it from the parent's side, so you can answer questions and help families find their way around. It works on a phone, tablet or computer, and carries your studio's name and colors.
Signing in#
Parents sign in with their own email and password, and land straight in the portal. A parent gets a login when they register online, or when you send them a portal invite. See Invite families to the portal.
The menu#
On a phone the menu is a bar along the bottom of the screen. On a computer it runs across the top.
- Home
- Schedule
- Family
- Billing
- Messages
- Store (only while your online store is open. On a phone it's in the account menu)
The account menu, under the parent's initials, has Security and notifications, Sign out, and a Studios list for parents who belong to more than one studio.
Home#
Home greets the parent by name and shows This week: each child's classes for the next few days, with a link to the Full schedule.
Above that, Needs your attention lists anything the parent should act on, such as:
- A payment that didn't go through, with Fix payment
- A spot held for next term, with Keep this spot or No thanks
- Costume measurements to add, or a costume to confirm came home
- A make-up credit to use, with Book a make-up
- New messages from the studio
Schedule#
A week-by-week view of every class, with arrows to move between weeks. Parents with more than one child can show Everyone or one child at a time. This is also where they tell you a child Can't make it and book make-ups. See Absences and make-up classes.
Family#
One tab per child, plus Add a student to register another one. For each child the parent sees:
- Classes: each class with its status (Enrolled, Waitlist, Spot offered and so on), any class packs, and Register for more.
- Health and emergency contact: allergies, medical notes and an emergency contact. Parents select Edit to update these themselves.
- Costumes (if your studio uses costumes): measurements to add and costume status.
Billing#
Balance, autopay, saved cards and bank accounts, and the full history of charges and payments. See How families pay.
Messages#
Conversations with the studio. Parents can read and reply to anything you send through the portal, but they can't start a brand-new conversation here. They see When the studio messages you, you can reply here until you do. Their replies land in your inbox. See Use the inbox.
Policies#
If you've added or updated studio policies, parents see Please review our updated policies when they next sign in. They type their name to sign and select Accept and continue before they can use the portal.
What you change shows up for families#
Classes, enrollments, charges and messages you add on the staff side appear in the portal for that family. If something looks wrong to a parent, check their family page first.
