Record a payment
Log cash, check and other payments taken at the front desk so the family's balance is right.
Billing and payments2 min read
When a parent pays you in person, record it in FrontRow so their balance goes down straight away. Card and bank payments made online or by autopay are recorded for you, so you only need this for money taken outside FrontRow.
Owners, admins and front desk staff can record payments.
Record a payment#
- Open Billing in the menu and choose Family balances.
- Find the family. The list starts on Owing money; use the search box or the filter to find someone else.
- Select Record payment on their row. (Or open the family and select Record payment at the top.)
- Choose the Method: Cash, Check or Other.
- For a check, enter the Check number. For other methods you can add a Reference if you like.
- Check the Amount. It starts at the family's full balance, so change it if they paid part.
- Add a Note, like "Paid at the front desk for October". It's required and is kept in the billing activity with your name.
- Select Record payment.
The payment appears on the family's account history right away, and the parent sees the lower balance in their portal.
Find who owes money#
The Family balances page lists families with their balance. Use the filter to show:
- Owing money
- Failed payment
- In credit
- Everyone
Badges show whether a family is on Autopay, Pays manually, or has a Failed payment. If nobody owes anything, you'll see "Nobody owes anything".
What if they pay more than they owe?#
Enter the amount they gave you. The extra leaves the family In credit, which shows on their account.
Made a mistake?#
Payments can't be edited or deleted, which keeps your records trustworthy. If you recorded the wrong amount, an owner or admin can refund the payment (for cash or check, hand the money back yourself) and you can record it again. See Refund a payment.
