Credits and write-offs

Take money off a family's balance for a missed class or goodwill, or write off what you won't collect.

A credit lowers what a family owes without sending money back. A write-off clears a balance you've decided not to collect. Both show on the family's account history with a reason, so you always know why.

Only owners and admins can issue credits and write-offs.

Issue a credit#

  1. Open Billing in the menu, choose Family balances, and select the family.
  2. Select Issue credit.
  3. Under Type, choose Credit (goodwill, missed class, overcharge).
  4. Enter the Amount.
  5. Enter a Reason, like "Missed class on Oct 3 (studio closed)". It's required and is kept in the billing activity with your name.
  6. Select Issue credit.

The family's balance drops by that amount. If the credit is more than they owe, they're In credit, which shows at the top of their account page and on the Family balances list.

Write off a balance#

Use a write-off when a balance won't be paid, for example a family who has left and won't respond.

  1. On the family's account, select Issue credit.
  2. Under Type, choose Write off (balance we won't collect).
  3. Enter the amount and a reason.
  4. Select Issue credit.

It shows as a Write-off on the account history, separate from goodwill credits, so your reports stay honest about what you actually forgave.

Automatic closure credits#

When you close the studio for a day, FrontRow can credit families for the missed session automatically. Set this up in Studio settings, on the Payments tab, under When the studio closes for a day. You choose separately for monthly, per-term and per-session plans. These appear as a Closure credit on the account. See Studio closures.

Fix a charge that was posted by mistake#

Posted charges can't be deleted. To undo one, issue a credit for the same amount with a reason like "Charged in error". If the charge hasn't come due yet, cancel it instead from the family's Upcoming charges card.
