How charges work
How tuition plans and fees turn into charges, and where to see what each family owes.
Billing and payments2 min read
FrontRow bills families from the prices you set up once. You create tuition plans and fees, attach a plan to each class, and FrontRow schedules the charges when students enroll.
Tuition plans#
A tuition plan says what a class costs and when it's charged. To add one:
- Open Billing in the menu, then choose Plans & pricing.
- On the Tuition plans tab, select New plan.
- Give it a name, like "Weekly class, monthly".
- Under Billed, choose how it's charged:
- Monthly: the same amount every month, due on the day of the month you pick (1 to 28).
- Per term: one price for the term, split into 1 to 24 installments. Choose whether the first payment is due At registration or when the term starts.
- Per session: charged for each class session.
- Enter the amount. You can also limit the plan to one term or one program.
- Leave Prorate the first charge for anyone who joins mid-term ticked if late joiners should pay less for the first charge.
- Select Create plan.
Then open each class and pick the plan in its Tuition plan field. A class in a program can use the program's plan instead.
Fees#
Fees cover things like registration, costumes, recitals and uniforms. On the Fees tab, select New fee, then choose:
- Charged: per family, per student, or per class enrollment.
- Added: Added by hand (you add it when needed), Added at registration, or Once per term.
Fees you add by hand show up as a quick pick when you add a charge.
Changing or retiring a price#
Changes only affect charges scheduled from now on. Nothing already scheduled or posted moves. To stop offering a plan or fee, select Archive. Charges already scheduled keep their amounts.
Only owners and admins can create or change plans, fees, discounts and promo codes.
Where charges show up#
Every family has an account history, called the Ledger. It lists every charge, payment, credit, refund and write-off, with a running balance. To open it, go to Billing, choose Family balances, and select the family. You can also open a family's profile and select Ledger and payments.
Charges that aren't due yet appear in the family's Upcoming charges card and on the Recurring payments page. On the due date they move into the account history, and autopay collects them for families who have it on.
What families see#
Parents see their balance, their next charge and their payment history on the Billing page of the parent portal. See How families pay.
