Sell tickets to a show

Set up a recital with its performances, prices and seats, sell tickets online and at the box office, and check tickets in at the door.

Shows lets you sell tickets to your recitals and performances. You add the performances, set your prices, and choose between reserved seats on a seat map or general admission. Families and guests buy online, staff can sell at the box office, and tickets are checked in at the door by their QR code.

Good to know: Shows only appears for studios whose program type includes recitals and performances, like dance studios.

Open shows#

Open Events in the menu (on a computer, look under More in the top bar), then choose Shows. The list shows each show with its status, its performances, how many tickets are sold and left, and the ticket sales so far.

Each show has a status:

  • Draft: you're still setting it up. Nobody can buy tickets yet.
  • On sale: tickets are on sale online and at the box office.
  • Closed: online sales are closed. Tickets already sold still work, and you can still sell at the box office.

Create a show#

  1. On the Shows page, select New show.
  2. Enter a Name, like "Spring recital", and the Venue.
  3. Add a Description if you like. Buyers see it on the ticket page.
  4. Under Seating, choose:
    • Reserved seats: buyers pick their seats on a seat map you build.
    • General admission: buyers pick how many tickets they want, up to a capacity.
  5. Set Most tickets in one order (up to 50).
  6. Optionally enter a Fee per ticket, paid by the buyer.
  7. Optionally set when the Presale ends. Until then, only signed-in families can buy. Leave it empty to sell to everyone from the start.
  8. Select Create show.

You can't change the seating type after you create the show. Select Edit show on the show's page to change the other details.

Add performances#

  1. Open the show and select Add a performance.
  2. Pick the Date, the time it Starts, and when Doors open (optional).
  3. For general admission, enter the Capacity. With reserved seats, every performance sells every seat on the show's seat map.
  4. Select Add performance.

To change or remove a performance, open the menu at the end of its row and choose Edit or Remove.

Set prices and build the seat map#

Below the performances, the Prices card holds your ticket prices.

  1. Enter a Name and Price for each one, like "Adult" and "Child". Select Add a price for another.
  2. For reserved seats, the Seat map card is where you lay out the room. Select Add a section for each block of seats, then give it:
    • A Section name, like "Main floor".
    • The Price its seats sell at.
    • The number of Rows and Seats per row. You can rename each row if your venue doesn't use A, B, C.
  3. To take out a seat (an aisle or a pillar), choose Remove seats and click the seat. To mark a seat as accessible, choose Mark accessible and click it.
  4. Select Save prices and seats in the bar at the bottom.

Once anyone orders a ticket, the show's prices and seat map are locked and can't change.

Put the show on sale#

When everything is ready, select Put on sale on the show's page. A link to Open the ticket page appears, so you can check what buyers see and share the link. You can also link to your ticket page from your website.

On the ticket page, the buyer picks a performance, chooses their seats (or how many tickets), enters their name and email, and pays. Their seats are held for a few minutes while they pay. They're emailed a link to their tickets, each with a QR code.

To stop selling online, select Close sales, then Close sales again to confirm.

Hold seats#

For reserved seats, you can keep seats off public sale, for example for teachers or VIP guests.

  1. Open the show and choose a performance.
  2. On the Seat map, click the seats you want to hold.
  3. Select Hold, type who they're Held for (like "House seats"), and select Hold seats.

Held seats show as Held by staff. To put them back on sale, select them and choose Release hold.

Sell at the box office#

  1. Open the show and choose a performance.
  2. For reserved seats, click the seats on the Seat map (free or held). For general admission, skip this step.
  3. Select Sell at the box office.
  4. For general admission, enter how many tickets at each price.
  5. Choose the Payment: Cash or Complimentary.
  6. Enter the buyer's Name and, if you like, their Email. With an email, they're sent their tickets.
  7. Select Record cash sale (or Issue tickets for complimentary tickets).

No buyer fee is added at the desk. The show must be on sale or closed to sell at the box office, not a draft.

See orders and refund one#

Each performance's page shows how many tickets are sold, held, left and checked in, plus the ticket sales. The Orders card lists every sale, online and at the box office, with the buyer, the tickets, how they paid and the status (Paid, Paying, Expired or Refunded).

To refund an order:

  1. Open the menu at the end of the order's row.
  2. Choose Refund and void tickets.
  3. Select Refund order to confirm.

The money goes back to the buyer (to their card if they paid online), the tickets stop working at the door, and the seats go back on sale. This can't be undone.

Check tickets in at the door#

  1. On the Shows page, select Check in at the door. You can also select it on a performance's page.
  2. Pick the Performance, or leave it on Any performance.
  3. Scan the ticket's QR code with a handheld scanner, or type the code under it into Ticket code, then select Check in.

The result shows in large type:

  • Admitted: let them in.
  • Already used: the ticket was checked in before, and the time is shown.
  • Wrong performance: the ticket is for a different show or performance.
  • Not valid: the ticket was refunded or its order expired.
  • Not paid: the order hasn't been paid.
  • Not found: no ticket has that code.

The box is ready for the next scan straight away. This session lists the scans made on that device.

See ticket sales#

Once you've sold tickets, the Ticket sales card on the Shows page shows the last 12 months by performance: ticket prices less refunds, and the fees buyers paid. Ticket money is kept apart from tuition. Only owners and admins see this card.
