Every store order, whether it came from the online store, the parent portal or the front desk, shows up under Orders. Orders are picked up at the studio, so fulfilling one means getting it ready, letting the buyer know, and handing it over.
Owners, admins and front desk staff can fulfill orders. Only owners and admins can give refunds.
Find your orders#
- Open Store in the menu, then Orders.
- The Pickup queue at the top lists paid orders waiting to be handed over. Everything else is under Other orders.
To narrow the list, search by name, email or order number, or filter by channel (Online, Portal or Front desk) and pickup status (To prepare, Ready for pickup or Picked up).
Online orders that were never paid are hidden. Tick Include unpaid and expired online orders to see them.
Get an order ready#
- Gather the items.
- Select Mark ready on the order. FrontRow emails the buyer that it's ready, with your pickup instructions.
- When they collect it, select Picked up.
If someone collects an order before you've marked it ready, you can select Picked up straight away.
See an order's details#
Select an order to open it. You'll see the buyer and their contact details, each item, the subtotal, tax and total, how it was paid, and when it was paid, made ready and picked up. If the buyer's email matches a family at your studio, there's a link to that family.
Order statuses#
- Paid: paid by card or cash.
- On account: added to the family's balance.
- Processing: the payment is still going through.
- Card declined: the payment didn't work.
- Awaiting payment or Expired: an online order that wasn't paid.
- Refunded or Part refunded: some or all of it was refunded.
Refund an order#
- Open the order and select Refund….
- Enter how many of each item to refund.
- Leave Put the items back in stock ticked if they're going back on the shelf.
- Enter a Reason, like "Wrong size, exchanged".
- Select the Refund button, which shows the amount including tax.
Where the money goes depends on how the order was paid:
- Guest orders paid online: the refund goes back to the card they paid with.
- Family orders: the refund is credited to the family's account. To give them the money back, refund that credit from their billing page.
See your sales#
Owners and admins see a Sales card on the Orders page. It shows sales before tax and less refunds, sales tax, items sold and your best sellers. Choose This month, 3 months or This year.
Good to know: If a buyer disputes a card payment with their bank, the order shows the amount being held. Respond in your Stripe dashboard (Stripe is the payment company FrontRow uses to process cards).
